Scheduled and recurring messages in a conversation

Last updated: 11 October 2026 · 5 min read

To send one customer a message later, or repeat it on a schedule, set up a plan from the conversation itself, for example a payment reminder every Monday. The message goes to that conversation only. Any agent who can see the conversation can set one up.

Steps

  1. 1

    Open the section

Open the conversation. In the right panel, open “Scheduled messages”, the section with the clock icon and the “NEW” mark, and click “Schedule a message”.

  2. 2

Write the message and the time

Write the text for the customer in “Message”, then pick the “Date” and “Time”. The time follows your computer's time zone.

  3. 3

    Choose how it repeats

In “Repeat”, choose “Once”, “Every day”, “Every N days”, “Every week” or “Every month”. For “Every N days”, enter a number from 1 to 365 in “Days”. If the repeats should stop at some point, fill in the “End date”. Click “Save”.

    Rules per channel

In a WhatsApp Business API conversation you need to choose a template: while the 24-hour window is open your text goes, once it is closed the chosen template goes. If the template has variables, fill in the “Template variables” fields. In an Instagram or Messenger conversation you can write within 7 days of the customer's last message: the form shows the latest time and does not accept a later one. While the window is closed the planned message does not go, and a note about it appears in the conversation. Once the customer writes again, the next message goes. In WhatsApp QR, email, website chat and other channels you can pick any time.

    Manage the plans

The section shows each plan's repeat, its next send and its last send. Manage a plan with “Pause”, “Resume” and “Delete”. To send to many customers at once, use Campaigns › WhatsApp or Campaigns › Email.
