WhatsApp campaign: one message to a list

Last updated: 11 October 2026 · 5 min read

A WhatsApp campaign sends one approved template message from your WhatsApp Business number to a list and shows what happened for each recipient. Every message also appears in the customer's conversation, so when they reply the agent sees what they are replying to. A campaign only works with an official WhatsApp Business (Meta) number; a number connected by QR cannot send one. An administrator sets up campaigns.

Steps

  1. 1

    Create a campaign

In the left menu, open Campaigns › WhatsApp and click “New campaign”. Change the name at the top for yourself. The form has four steps: a finished step folds into one line and opens again with “Change”.

  2. 2

    Sender

Choose the WhatsApp Business number the message goes out from. Next to the number you see the tier and quality Meta gives it: Meta only lets you message a certain number of different people in 24 hours (250, 2,000, 10,000, 100,000). A larger list is spread over several days.

  3. 3

    Recipients

Choose “By label”, “Pick contacts” or “Upload CSV”. For a CSV, click “Download a sample” and fill the file in the same way: phone, name, then the template variables. Numbered columns are the template's {{1}}, {{2}} variables. Check the recipients with “View list”.

    Message and time

Choose an approved template. For each variable, write one value for everyone or choose a CSV column, so each recipient gets their own value. The right side shows how the message will look. In the “Time” step, choose “Send now” or “Pick a time”, then start the campaign with the button on the right.

  5. 5

    Report

Click a campaign to open its report: “Sent”, “Delivered”, “Read”, “Replied”, “Failed” and “Waiting”. Click a number to list those recipients, and use “Download CSV” to take the list as an Excel file. Each failed recipient shows the reason, for example “The number is not on WhatsApp”. “Resend to failed” sends a new campaign only to the recipients another try can reach. To stop a running campaign, click “Stop”: messages that have not gone yet are not sent, and you can send them later with “Resend to failed”.
