Email campaign: one email to a list
Last updated: 15 October 2026 · 6 min read
An email campaign sends one email from the company's own mailbox to a list. The emails do not all go at once: they go in parts within the mailbox limit, so Gmail or Yandex does not block the mailbox. An administrator sets up campaigns.
Steps
-
1
Create a campaign
In the left menu, open Campaigns › Email and click “New campaign”. Change the name at the top for yourself. The form has four steps: a finished step folds into one line and opens again with “Change”.

2
Sender
Choose the mailbox the emails go out from. Its limit is shown next to it. The defaults: Gmail 20 a minute and 500 a day; Google Workspace 20 a minute and 2,000 a day (Google's own ceiling; a Workspace mailbox still on its trial may send 500 a day, so lower the limit there); Yandex 10 a minute and 450 a day; Microsoft 365 20 a minute and 5,000 a day; your own SMTP server 5 a minute and 200 a day. You can change the limit on Settings › Workspace settings › Inboxes, in the mailbox's “Bulk sending limit” part, but not above the provider's own ceiling. If your domain has no SPF or DMARC record, a warning appears here: such emails often land in spam.

Recipients
Choose “By label”, “Pick contacts” or “Upload CSV”. For a CSV, click “Download a sample” and fill the file in the same way; the order of the columns and the separator do not matter. Addresses that unsubscribed are left out automatically. Check the recipients with “View list”.

Message
Write the subject and the text. Click a variable under the text to put it where the cursor is: {{ad}} is the recipient's name, and the columns of a CSV file become variables too, for example a column named firma becomes {{firma}}. An unsubscribe link is added at the foot of every email, and an address that leaves through it gets no later campaigns.
-
5
Time and repeat
Choose “Send now” or “Pick a time”, and a repeat if you need one: “Once”, “Every day”, “Every week”, “Every month”. The right side shows the number of recipients and about how many days it will take. Once the daily limit is reached, the rest continues the next day from the same hour.

Report
Click a campaign to open its report: “Sent”, “Failed”, “Replied”, “Unsubscribed” and “Waiting”. Email does not reliably tell whether a message was opened, so “Delivered” and “Read” are not shown. Click a number to list those recipients, and use “Download CSV” to take the list as an Excel file. To stop a running campaign, click “Stop”: emails that have not gone yet are not sent, and you can send them later with “Resend to failed”.
