Google Calendar: take meetings and bookings
Last updated: 1 October 2026 · 6 min read
When Google Calendar is connected, meetings go straight into your calendar. An agent books a meeting from the conversation, and the Clomni AI assistant can also book meetings that follow your rules. A booking gets a Google Meet link, and the customer is told about it in the chat.
Steps
-
1
Connect the calendar
On the Settings › Workspace settings › Integrations page, click “Configure” on the “Google Calendar” card, then click “Connect” and give your Google account permission. An administrator does this.
-
2
Set up the booking rules
On the same page, in the “Booking rules” section, choose “Opens at (hour)”, “Closes at (hour)”, “Slot length (minutes)”, “Max meetings per day”, “Timezone” and “Closed days”. In the “Reminders” section, write which message is sent and how many minutes before the meeting. A reminder can also use {{meet_link}}, and the standard reminder adds the Meet link by itself. Then click “Save rules”.

Google Meet and the customer message
On the same page, the “Google Meet and the customer message” section has two switches, both on at first:
- “Add a Google Meet link to bookings”: every new meeting is created with a Google Meet room.
- “Message the customer in the chat when a booking is made, moved or cancelled”: the customer gets the meeting's title, date, time and Meet link in the chat.
With the second switch on, three text fields appear: “When booked”, “When moved” and “When cancelled”. Write the text in your own words, or leave a field empty to send the standard text. You can use {{title}}, {{date}}, {{time}} and {{meet_link}}. For a meeting without a Meet link, the line with {{meet_link}} is left out. Click “Save rules”. When the Clomni AI assistant books a meeting, it gives the Meet link in its own reply and sends no separate message.

Book a meeting from a conversation
From the icons on the right edge of the conversation, open the “Bookings” panel and click “Add booking”. Enter the “Meeting title”, pick the “Date” and one of the “Available times”, and add “Invitees (email)” and “Notes” if needed. The “Create a Google Meet link” and “Send to the customer in the chat” boxes come ticked as in the settings, and you can change them for this meeting. Click “Book”. The message goes to the customer in your name. The “Active booking” card shows a “Join Google Meet” link.
-
5
Change or cancel a meeting
A booking has “Edit” and “Delete” buttons. Use “Edit” to change the time: if “Send to the customer in the chat” is ticked, the customer is told the new time. “Delete” cancels the meeting. If messaging the customer is on in the settings, they get a cancellation message. Nothing is sent for a meeting that is already over. If you disconnect the calendar, the assistant cannot book new meetings, and earlier meetings stay in the calendar.

6
Past meetings
The “Meeting booked:” bar at the top of the conversation shows only a meeting that is still to come. Once a meeting is over, it leaves the bar and stays in the “Bookings” panel under “Previous bookings” with the status “Past”. A cancelled meeting shows there as “Cancelled”. A past meeting cannot be changed or cancelled.
